Privacy Policy

This Privacy Policy explains how ADD Designs (“we”, “us”) collects and uses personal information when you use Cubed Scribe on the web or in the iOS and Android apps.

1. What we collect

Account details (name, email, company), workspace content you upload (audio, photos, notes, customer records), location captured when you start or log a job, a device token if you allow notifications, usage and billing data, and technical logs needed to operate the service.

The mobile apps use the microphone so field staff can dictate a job while the screen is locked, the camera for equipment photos and serial-plate scans, and location only while the app is in use. Audio and photos are uploaded to your workspace. They are not sold.

2. How we use it

To create and secure your workspace, run transcription and AI report features, provide support, bill for plans/credits, improve reliability, and meet legal obligations.

3. Processors

We use trusted infrastructure and AI/speech providers to process data on our behalf under appropriate agreements. Speech in a recording may be sent to the speech-to-text providers configured for the workspace, which can include AssemblyAI, Deepgram, OpenAI Whisper, Azure, AWS, Google Gemini, and ElevenLabs. Content may leave South Africa when those processors operate abroad.

4. Sharing

We do not sell personal information. We share it with processors who help run Cubed Scribe, with your team members you invite, and when required by law.

5. Retention

We keep workspace data while your account is active and for a reasonable period afterwards for backups, disputes, and legal requirements, then delete or anonymise it. Data removed from an active workspace may remain in access-controlled disaster-recovery backups for up to 98 days before those recovery copies expire.

6. Security

We use industry-standard controls (encrypted transport, access controls, tenant isolation). No method of transmission or storage is perfectly secure.

7. Your rights

Subject to applicable South African law (including POPIA), you may request access, correction, or deletion of personal information we hold about you. Workspace owners can manage team user access in Settings. Contact support@adddesigns.co.za.

7.1 Delete your Cubed Scribe account or data

ADD Designs operates Cubed Scribe. To ask us to delete your account, or to delete some of your data without closing the account, email support@adddesigns.co.za from the address on the account. Include the workspace name and say whether you want the whole account deleted or only specific data (for example a job, a recording, or a photo).

We delete the account profile, workspace content you ask us to remove (audio, photos, notes, customer records, and reports), and the device token used for notifications. We may keep invoices and billing records where tax law requires it, and disaster-recovery copies for up to 98 days as described above. We confirm by email when the request is done.

8. Cookies

We use essential cookies/session tokens to keep you signed in and operate the product. We do not use third-party advertising trackers on the core app.

9. Changes

We may update this policy and will revise the date above. Continued use means you accept the updated policy.
